I am sure you must be using some or the other form of the calendar to complete your daily task or to remind you about key events. You may be using the digital calendar or the one hanging on the wall or kept on the desk. You might have also tried your hands on Google calendar.

Have you ever realized the potential of Google calendar? You may be using it for adding events, creating reminders just like any other calendar. But have you ever thought of a calendar, which takes care of everything related to time and day? Well it is one such tool that can help schedule your daily activities and act as a personal assistant reminding you about significant things. Below mentioned are some of the useful tips, which makes this calendar a unique companion in this fast paced life.

Short cuts

To start with here are some of the shortcuts on the calendar that allows quick and easy navigation. If you want to navigate quickly on daily, weekly or monthly basis, you can do that by hitting D, W, or M. You can further see the next and previous time or schedules by using P and N.  In addition, you can also make use of numbers for navigating such as, 1, 2, 3 instead of D, W, or M.

The best part is you want to create events quickly with the help of the keyboard. You can bring up the quick add events page by hitting Q. Type the event details and hit enter. The event is created.

Event countdown timer

In this fast paced environment, we all rush into things. No matter how busy or comfortable your schedule is, urgency is the evil for any business. Google calendar will guide you exactly on how much time you have to prepare for the presentation, what time are the clients coming, etc

Count down timer is a unique way to make each event or a meeting a success. To enable this feature, you have to go to settings-à labs. Enable the next meeting option, once you enable the countdown timer, you will find the time counting on the right navigation pane. This will always keep you informed about the events and the time.

As a project management tool

Google calendar has the ability to search, share, view features that make it a robust project management tool. You can create a separate calendar for each project. You can enter client name, project initiation date, due date and clients contact information. The option for sharing can be used effectively for passing on the information across team members. It is also an excellent communication tool, allowing you to share your views and opinions across; this saves time and increases efficiency. In addition, you can also export data when you need a summary of the work completed and the task aligned for the future.

Use the location field

We typically put the title or name in the appointment field, without specifying it as a phone call, physical meeting or virtual meeting. Using the location field under these circumstances can be immensely beneficial. The location field is found just below the title or name in the event form. The content of the location field varies on the basis of the nature of the appointment.

For example, I have to make a phone call; I put in the number of the person. The calendar will automatically prompt for calling the respective person on the specified time. If you are suppose to have a virtual meeting than put in the conference call number and code of the participant or the URL, to get the meeting started as per the schedule.

Sync with Smartphone

You can sync the calendar with your smartphone to make the most of it. This will allow you to schedule your events, tasks, meetings and other critical priorities on the go. It does not require you to sit in front of the computer to schedule the tasks. You can do it virtually from anywhere. Since Google has its own operating system Android it allows you to automatically sync your calendar.  This can also be done for other platforms.

Stay on top of your dinner plans

There are instances, where you have planned a dinner with your family, but you forgot to fulfill the promise. In such cases, Google calendar can be very handy. If you forget the dinner plans, there are chances that even your family forgets it. In order to avoid this, you can use the option of share in the calendar. This allows you to fix an event and share it across with others.

The next time you plan a dinner create an event and share it with your family members. Doing this will not only remind you of the event, but allow alert the family members for not cooking the food for that evening.

These tips are some of the most useful and innovative ways of making the best possible use of Google calendar. I have been using it for the past two years, as I go on exploring the more I get use to it. The present scenario is such that I cannot live without it. It is a virtual assistant to me guiding to complete my task and be on time for important events. In addition, it also helps me to set priorities, without getting lost into the ocean of information, number, dates and emails.
